CAFM Case Study - NHS Blood & Transplant (NHSBT): The National Blood Service

The core purpose of NHSBT is to “save and improve patient’s lives”. It looks to achieve this by the safe and reliable supply of blood components (on average 7000 units per day), specialist diagnostic services, human tissue, cartilage and bone products, and donated organs. To achieve its core purpose, NHSBT must have a property portfolio which is deemed fit for purpose. NHSBT is licensed under statute by the Medicines and Healthcare Regulatory Authority (MHRA) and categorised as a Pharmaceutical Manufacturer. Consequently the internal and external property infrastructure must be maintained to the highest standards. To cope with this high demand, there are 100 NHSBT fixed site locations nationally to support this complex infrastructure.

Procurement

In 2004 NHSBT identified a requirement for a software solution to monitor and track its building fabrics and assets nationally. These requirements were passed out to tender to identify the most suitable candidate to offer an integrated solution capable of supporting this need. Following an extensive and involved tender process, Tabs FM were selected to supply a comprehensive Computer Aided Facilities Management solution required by NHSBT.

Implementation

Implementation began with a phased approach: initially piloting the Reactive Maintenance module at a single site location, but following extensive testing, NHSBT embarked on a controlled introduction of this module nationally.

Following the successful deployment of the reactive maintenance module, extensive testing then commenced with the Intranet System for web-based self-service call logging, and once proven, was immediately adopted and rolled out nationally with immediate success.

PPM Data & Asset Management

The next phase of deployment was to capture all maintainable assets for inclusion into the PPM module. Nationally, NHSBT utilise a number of PPM contractors and strategically it was recognised that control of all planned activities (in-house and out-sourced) were best managed by NHSBT Estates and Facilities Management Team using the Tabs CAFM system.

The size and scale of this implementation required large volumes of asset and planned maintenance data to be imported to the system from each site location, in all over 10,000 parent assets were identified.

In collaboration with NHSBT, Tabs FM developed a unique (data) import tool with the ability to validate and import these vast quantities of assets, planned maintenance schedules and other applicable data into the system, direct from Excel spread sheets. This approach ensured process efficiency and data accuracy, along with significant resource saving benefits. With a central source validating and importing all data received from each location, the system evolved, providing a reliable management tool.

To adhere to Quality Assurance requirements at NHSBT a replication (test) environment was established for testing of all new functionalities and imported data. Following successful import trials, on the 24^th of April 2009, a batch import of all PPM schedules and asset information was imported into the system for go-live the following Monday.

Growth

Throughout the implementation process, additional items were identified for system enhancements, which Tabs development team addressed. A collaborative approach, facilitated the progress and uptake of the system, including new reports, system views and security measures ensuring data accuracy and system efficiency.

The Future

At the start of 2012, NHSBT recorded over 140 users (both internal and contractors) logging into the management console to review and respond to data. The system is used across 100 NHSBT locations and there are in excess of 2.5k end user (clients) reporting and reviewing maintenance related tasks via the 24/7/365 web portal. It is anticipated that this usage will increase with the deployment of a Room Booking module across all Centres, with targeted go-live in June 2012. System usage is also planned to increase over the foreseeable future as the NHSBT continues to explore new possibilities provided by Tabs FM. These include Dashboard reporting, Mobile interfaces and migration to the new .Net platform.

Firstly, may we extend Season's Greetings to all and hope that Santa delivers to those who have been good throughout 2011. We have enjoyed a particularly eventful and encouraging year at Tabs Towers, navigating company growth and attendant growing pains. With a revised, strengthened Team in place, fast embracing new roles and responsibilities, we feel we are in good shape moving into 2012.

We will be introducing and delivering new product, initiating exciting new training platforms and focussing on development wish lists to enhance, extend and future proof Tabs Systems on your behalf.

The economic climate has obviously affected most of us and many clients suggest a pent up demand to invest in their systems when budgets allow. This affects both Internal FM and FM Service Provider models of Tabs users; the former trying to make internal cases for funds, the latter leveraged by demanding clients.

It is always our intention to help raise the profiles of our users. This may be the Facilities Department using the internal model and Business Development Teams promoting their services to multiple clients. The Future of Mobile Operating Systems for Rugged Devices

Historically, Tabs FM have always developed mobile software for Windows Mobile devices. The driving force behind this approach is that Microsoft is often the selected Operating System of rugged and barcode scanning devices. But will this always be the case? Forever in discussions with providers of rugged handhelds, it appears that the chink in Windows Mobile armour is gradually getting bigger…especially with the recent launch of Windows Phone 7.

Windows Phone 7 is viewed as a consumer based product and with good reason. Not only is the development platform not as flexible as previous versions, but the OS itself is typically delivered across a range a smartphones, perhaps reinforcing the consumer focused approach.

Apple and Blackberry also offer a great range of consumer devices which can often tempt facilities and service providers to look towards these devices. But in reality, are these devices a wise choice for Facilities departments and service providers after considering two common questions:

1. Is the device suitable for the environment?
2. Can the scan assets effectively?

After considering these questions, available devices are heavily restricted. Of course, with the correct software consumer devices can use the camera as a means of scanning assets, and you could invest in rugged cases for the devices, but practically speaking is they the best fit solution?

After lengthy discussions with hardware manufacturers and suppliers, it is suggested that Windows Phone 7 will not be the next step in mobile OS. It is unlikely that Apple or Blackberrys OS will be used either. This leaves Android as the most logical choice for rugged devices, or Windows Phone 8 once its released.

Pidion (http://www.mypidion.com/) offer an excellent range of rugged devices and have already released Android based versions on both their BIP6000 and BM170. Therefore, could Android be future mobile operating system for rugged devices for use within the facilities and service management industry? Early indications seem to support this and Tabs FM have already begun investigations and development on a range of alternative mobile OS’s, to continue to provide clients and the industry with leading mobile technology for field engineers.

A Facilities Manager's Tale

The Facilities Manager sat in his new office for the first time, proud that he had landed his promotion but worried about sourcing a new CAFM Software System to manage his Help Desk, Planned Maintenance tasks, Room Booking, Asset Tracking etc.

He wanted a system to promote great customer service, managing KPI’s and SLA’s. He wanted his team to use mobile devices to receive, carry out and close jobs and also to perform Health and Safety Surveys throughout the estate.

He had been on courses and discovered CAFM, CMMS, BMS, IWMS and EMS packages. He knew exactly what he wanted to achieve, but not the best way to achieve it. Web research had only made his headache worse.

As he sat, head in hands, he suddenly experienced a Eureka moment. He remembered his great mentor from his early days as a Help Desk operator and knew he held a senior position in a huge London business. Yes, that was it; he would call him to ask for guidance.

He got straight through to his old boss and explained his predicament. With no hesitation, his former associate suggested Tabs FM as the best CAFM solution to meet his needs.

He discovered that Tabs Systems were very flexible and could be used as an ‘in house’ model or a ‘multiple client’ management tool.

Tabs Systems would manage Reactive Maintenance, Planned Maintenance, Asset Tracking, Project Management, Room/Catering/Equipment Booking, Workforce Diary/Scheduling, Health and Safety functions such as Accident Reporting, PAT Testing, Fixed Electrical Testing, Risk Assessments and Permits to Work.

It also offered advanced mobile software for field based staff and a web/intranet platform as a light application, available to unlimited users to interact with the Management Information System.

It seemed too good to be true. A quick call to the Tabs FM office and our new Facilities Manager felt ten years younger. A presentation of Tabs CAFM solution was arranged, an attractive and comprehensive proposal followed, including an implementation plan forecasting completion and ‘go live’ within six weeks.

The new office suddenly felt more comfortable. Tabs Systems addressed end to end process for all planned and reactive maintenance tasks. The Health and Safety Manager was ‘over the moon’, (in a safety harness of course) and Concierge staff had an intuitive Room Booking, Car Park Booking, Taxi Booking and Visitor Booking/Badging System to replace their paper based functions.

The Facilities Manager has since been promoted to Facilities Director and recommends Tabs Systems to all who seek his wisdom.

In difficult economic times, the benefits of CAFM systems continued to shine bright as a beacon of hope for many facilities managers and service providers. Heading towards the light, the vision of how a CAFM system can help support and improve internal processes became clearer and clearer. This vision was shared by several clients from different disciplines in August.

After a few months steady planning, August witnessed the installation of 4 CAFM systems. Each installation offered its own take on a solution. With service providers wishing to focus heavily on improving efficiency with site engineers, Tabs Mobile systems provided a practical and natural extension to Tabs Systems to support their initiative. Capturing data from the field and transferring it back to base helped improve response times, cut labour, reduce paper consumption and also improve data accuracy.

August installations for internal facilities departments offered a slightly different approach. With limited resources over the summer period, systems installed for internal FM operations opted for a gradual introduction to Tabs Systems. Working closely with our clients, the Tabs FM project team facilitated the path through close project management and implementation of a training environment. The benefits experienced as part of the implementation training program have helped to reinforce the proposed data architecture, ensuring high quality data output and reporting.

New CAFM Developments

New development over the past couple of months has been mostly bespoke work, specified by existing clients. While we have added new features such as the ability to attach documents to job responses via the intranet or enable/disable certain even types for selection in the event dropdown on a room-by-room basis, the emphasis has been on client development specifications.

We are frequently asked to replicate forms within Tabs Systems which exist within legacy systems or to match internal processes. We have internal procedures to help us to design and deliver bespoke development to meet and exceed client requirements. An excellent example of our replication abilities is the RIDDOR report with our accident reporting system. The RIDDOR report has been replicated and pre-populates using data imputed into the system, offering an efficient solution.

Tabs2Accounts...the hows and whys?

As increasing numbers of Tabs clients are utilising costing, purchasing and invoicing functionalities, we have developed Tabs2Accounts, an automated tool to interact with your financial software package.

This will minimise manual process and help to eliminate associated errors.

Having worked with a third party, specialising in accounting software, to fine tune our product, we address the demands and processes of both Tabs user departments and accounts teams.

What is Tabs2Accounts?

Simply put, Tabs2Accounts is the bridge between Tabs Systems and accountancy software. It provides the synchronisation of many financial aspects (Sales Invoices, Purchase Ledger Invoices etc.) recorded via Tabs Systems, into leading accounts packages.

Finance departments do not need knowledge of, or access to, Tabs Systems in order to process financial information. The Tabs2Accounts solution provides a secure gateway for finance departments to manage the migration process before importing into accounts applications.

How it works

Tabs2Accounts pulls from various sources within the Tabs Systems database, allowing for the import of Invoices, Labour Costs, Material Costs and more with ease.

Sitting outside of Tabs Systems, the Tabs2Accounts application forms the bridge between Tabs Systems and accounts packages, and comprises the following core functions:

Sync IT Invoices can be imported directly into accounts packages within seconds. Nominal codes can be adjusted or applied before import.

Workflow IT Interrogates the database to locate unprocessed tasks, allowing you to monitor, amend and manage each invoice before import. Invoices in query can be routed to other members of your team via the workflow solution and comments being captured along the way.

Search IT Allows users to search and review imported invoices, including viewing of PDF documents.

Future CAFM Development

The Tabs FM Research & Development team have been pioneering new developments targeted towards cutting edge and future technologies.

First on the agenda is the migration of our Mobile Solution. Until recently, the Microsoft Windows Mobile operating system was the chosen OS for manufacturers of laser scanning devices. With Microsoft’s release of Windows Mobile 7 the focus shifted to a more consumer-based product, leaving many manufacturers and third party developers in a state of uncertainty. As a result, manufacturers are looking at alternative OS’s, such as Android, for future hardware releases. We have already started the investigation process for migrating Tabs Mobile Systems to Android platform.

Not to neglect consumer-based products, we have already started development of Tabs Applications for Apple devices, including iPhones and iPads. Whilst aiming to offer similar functionality to Tabs Mobile Systems, the new platform offers extehttp://www.blogger.com/img/blank.gifnding a wider audience. A beta release of the iPad platform has already been provided for internal testing.

New CAFM Development

Data Import Utility
Behind the scenes we’ve improved the technical architecture of the data import utility by re-structuring the code to improve performance. In doing this, we’ve also applied a slight change to the ribbon bar and added a few new validation rules to accurately validate data before upload.

Part of the reason to carry out these changes was to implement two new import templates. The import utility will shortly support the ability to import additional data (as below) to improve the set-up times for new installations, or support clients when adding new sites to the system.

Pocket PC
A few new switches have been added to the Pocket PC system, adding to its already advanced functionality:

• Must add comment before closing job – Global Switch
• Allow Work Type and Job Description changes – User Profile Switch

• Start on Screen – User Profile Switch

Here are a few other minor adjustments we’ve recently applied to our application:

• Maintenance Works Diary- Right clicking on a job now offers the ability to print a job docket. This automatically updates the actions performed on a job.
• Edit Planned Maintenance Schedules – Now offers the ability to update comments of all jobs in a PPM within a PPM group.
• Property Register – Changing the client associated to a property will now offer to update all live jobs with the new details.
• Reporting System - If the job sheet docket is previewed it will update all jobs action history to state that it has been previewed.
• Room Booking – Booking Start Time and End Time now added to the email confirmation subject header.

While we know stability is a great attribute in a CAFM System, we also need to introduce change to support our client base. Recent enhancements to the system include:

Reactive Maintenance

• Auto Email of Job Receipt – When a new job has been logged via the Tabs Intranet interface, requestors can now be automatically emailed a copy of their job receipt. Adding to the previous method of manually saving the receipt upon job request completion. Minor IT configuration required.

Room Booking

• New reports – 2 new reports have been added to the room booking system to display room information. The first report utilises the full space of an A4 sheet to display booking details. Ideal for fixing to meet room doors. The second report displays booking details for 3 bookings on an A4 sheet. Ideal for welcoming guests.

• Auto Email of Booking Receipt – If you are using the Tabs Intranet Room Booking system to book directly, users (booked by) can now receive automatic emails of booking confirmation. Minor IT configuration required.

• Catering Restrictions – New restrictions can now be enabled to prevent catering being added to bookings X hours prior to the booking time.

• Fortnightly bookings – A new option has been added to the intranet application to enable repetition of bookings or requests on a fortnightly basis.
Visitor Booking

• Visitor Badge Photo Capture – We’ve rebuilt our visitor badge photo capture tool in line with modern technology. The new utility supports many leading web cams for enhanced image clarity.

• Visitor Badge Printout – In line with the new image capture tool, we also developed a new visitor badge printout templates to mimic clients original designs. Please contact us should you require a custom badge template.

Welcome to March

It’s March already and, as I write, the sun is streaming through Tabs windows. I hear birdsong, the laughter of office workers ambling down to the river for lunch and cogs turning in our development area next door.

The first quarter always seems to fly these days and I am pleased to report positive activity here in our Woolwich offices. We have a number of implementation projects running concurrently and are heavily involved in data management, asset tracking assignments and PAT Testing for clients.

I realise there is uncertainty in many organisations at present. Cutbacks and job losses give rise to fear and lack of confidence. Our own client base is representative of the bigger picture and I have spoken with individuals in difficult situations. However, as one door closes, another opens and with the right attitude we can all learn and grow in times of adversity.

To support and improve our ‘Customer First’ initiative, we recently introduced a new customer contact program. A schedule of contact days has been introduced to gather feedback on services and solutions offered by Tabs FM. The program has been in operation for the past few months and has proven to be an excellent opportunity to get to know our clients better. Our experienced advisors are on hand to answer and manage any queries you may have. If you’ve not yet heard from us yet, no doubt we'll be in contact soon.

One overriding message that comes through to us is that many clients don’t feel they are using their Tabs System to maximum effect. We want to help here and have arranged several “Health Check” consultancy days which have proved extremely beneficial for participating clients.

A “Health Check” day involves a Tabs Consultant attending site to observe current practice relating to Tabs usage. We can then advise, train and simply show some time saving alternatives and short cuts to optimise system effectivenes. We can guarantee a very quick and positive return on your investment.

Tabs CAFM Data Import Utility

The new data import utility features three new options:

On the General Import spreadsheet, you can assign specific workers/contractors to each PPM task. Therefore, when the PPM is created, correct workers are automatically assigned.

Workers/Contractors can now be assigned to Job Description as default engineers when job descriptions are imported.

Cost Codes can now be imported with a default department buildings assigned.

Intranet

Two new features have been added to our Intranet application.

Notifications of new Reactive Maintenance Requests can now be sent through to a user defined email address(es) at the time of request submission, alerting out of office contractors or senior management of new reactive maintenance requests.

Notification of Room Booking equipment requirements can now be emailed to a designated email address (i.e. for IT Departments to prepare hardware prior to meeting event).

Pocket PC

As discussed in our previous newsletter, development of our building PDF attachments is now available on our handheld software.

May we take this opportunity to welcome one and all to a New Year and new decade.

Yes, we are in the midst of Government Austerity measures and now part of the “big society.” We are having to pay 20% VAT and won’t be hosting the World Cup for donkeys’ years.

However, we did retain the Ashes and Andy Murray is sure to win a major in 2011.

I guess the common theme here is change but we don’t really want things to stand still, do we?

Change can be a great motivator, a catalyst to raise our awareness and try new things, pushing against barriers. We can certainly promise you some positive change to our products and services as the year progresses, with much of our recent development work reaching an exciting place this week.

More on this in the next edition when we will be able to give further concrete information on our system roadmap.

2010 was a good year for Tabs FM. That is now in the past and we are looking forward to taking our offer to new heights in 2011.

Total Workplace Management (TWM) Review 2010

The Total Workplace Management Expo at Olympia attracts visitors from around the UK, as suppliers and service providers converge to present their latest innovations to the FM industry.

Whilst the general consensus this year was that the event was perhaps quieter than normal, due, in some part, to lack of train service between Earls Court and Olympia, we encountered a steady flow of visitors to the Tabs FM stand. Amazing what a tin of chocolates will do!

Very often, attendees at trade events are looking for ideas, inspiration and potential future partners. To this end, we introduce the scope of Tabs Systems with a view to further contact in the coming weeks and months. Valuable seeds are sown.

We also had an opportunity to show modules from the new .NET version of Tabs, prior to internal testing. This was extremely well received and bodes well for all in 2011.

Our hardware suppliers were most helpful in loaning us some of the very latest hand held devices for the show...thank you.

New Developments

In anticipation of the new .Net platform expected to be released next year, our development doctors have continued to operate on our current application. All the 'nips' and 'tucks' applied to our current platform will automatically be included as part of our .Net reconstructive surgery.

A few new features system wide, include:

• New configuration options have been applied to our maintenance system, which allows the system to automatically update a job’s status when a user selects cancelled or acknowledged.

• Intelligent filters have been applied to the works diary to support building filtering once a client has been selected.

• We’ve updated the job actions report to record all job changes, recording both the original setting and the new.

• Visitor Types dropdown menu has been converted to a fixed list to support user configuration

• Visitors can now be marked as inducted / by / date in the room booking system.

• We’ve also added new reports to the room booking system.

• By integrating with Microsoft Bing Maps API, you can now view property location and satellite maps direct from Tabs Mobile System

•Soon to be released...Tabs Mobile System will support the ability to download PDF documents attached to properties/clients, for instance site-specific schematics, risk assessment and method statements.

It's November already, and still so much to do before the end of the year.

The ‘Order’ to ‘Invoice’ has been enhanced with the introduction of the ‘Tabs 2 Accounts’ module. This new facility gives the ability to review invoices produced by Tabs Systems and import them directly into leading accounts packages, thus alleviating manual processes.

Supporting our clients in the early stages of system implementation has been the key to our success in 2010. We achieved this by offering supporting tools to assist with data population of a new CAFM system and improvements to our internal support process. The Tabs Data Import Utility continues to lead the industry by providing a trusted system to import data direct from en Excel Spreadsheet. In line with the rest of our products, this tool has continued to evolve to support greater import of data, prior to system installation.

Dangerous Occurrences Intelligent Workflow

Our web development team has revamped the existing Accident Reporting system, offering an intelligent workflow solution in accordance with HSE regulations. The new web-based user interface offers the ability to report dangerous occurrences via a simple and effective online form.

The workflow aspect of the web interface is delivered through intelligent questions. The flow of further questions is determined by answers inputted by users, thus ensuring all details relating to the accident or incident are accurately and efficiently captured.

As you would expect, the new web-based interface is supported by Tabs FM's powerful administration system. Offering a host of reports (including RIDDOR), the administration system completes the process by offering fields to record actions taken against each occurrence for monitoring and audits. Actions may include raising Reactive Maintenance tasks, recording accident investigation details, property damage or insurance claims.

The summer period is always a pleasurable time, not just because of great weather and anticipated breaks, but also because the usual morning trip to work is that little bit easier, thus beginning the day a little more relaxed.

CAFM Internet Security

We all have a corporate responsibility to protect customer, client or colleague data. When faced with threats of hefty fines, the correct handling of data has never been more important. Coupled with an increased risk of data attack and penetration through web-based CAFM solutions, correct security measures should be in place to safeguard data.

Taking pro-active steps towards the protection of information, Tabs FM have introduced enhanced security measures which are applicable to their Internet enabled CAFM interface. First on the agenda is password encryption using Advanced Encryption Standard (AES) cipher algorithm, with a 256 bit key length AES (RIJNDAEL) encryption that is applied to all Internet user logins. Additional rules can be applied to user passwords to enforce Password Length, Upper/Lower Case, Numeric or Special Character polices. Password expiration dates can be allocated to ensure passwords are renewed to prevent potential security loop-holes.

The second phase of the security procedure is to incorporate a ‘Passphrase’ process. By this, Internet users are required to create a memorable Passphrase, of which 3 randomly selected characters will require entering to gain access. Repeated entry of incorrect details will force a system ‘lock-out’, preventing further access attempts.

The third and final security measure implemented is the ability for system administrators to review and monitor Internet Security issue. To enable this, Tabs Systems records all information relating to successful or unsuccessful user login attempts, capturing User, IP Address, Date/Time Stamp, Browser and Failure Stage. Similar records are retained for any changes applied to the Internet Security configuration.

To summarise, the latest security measures applicable to Tabs Systems have been introduced to protect and monitor data, with the intention of providing data confidence to system users and preventing severe financial penalties.

Existing user requirements coupled with independent market research are the two main factors which contribute towards the evolution of Tabs Systems. As promised in the 'Tabs philosophy', we have a continued commitment to introduce all client ideas, no matter how large or small, into a centralised system so we can all share the benefits of an advanced and efficient software application.

Aside from the all new .Net development we are currently investing heavily in, our vision of introducing system enhancements remains paramount. Initial enquiries are managed through Tabs Client/CRM modules. Having secured a new client, work requests are instigated by Tabs Web-Based System. Invoices issued for completed tasks are transferred to an interim management application.

With nominal codes being automatically assigned to invoices details, the ‘Tabs 2 Accounts’ solution offers a window to review, confirm or amend invoices before exporting into an accounts packages. The reach of the ‘Tabs 2 Accounts’ application also extends to the synchronisation of invoices received against purchase orders. Pool Car and Car Park Space Booking Modules

Use these simple to operate modules to centralise the booking of pool cars and car park spaces. Easily create bookings using the standard Tabs methods. Use 3 different methods of viewing to easily see what resources are available at any given time.

When bookings are made, automatically email or fax confirmation letters. In the same manner, cancellation letters can be forwarded by email or fax.

Repeat bookings can also be made. Search facilities are provided for locating bookings that have been made and need to be changed in some way.

Details regarding costs may be stored within both modules and later analysed using the standard reports provided.

Cancelling whole group bookings may be performed with a couple of mouse clicks. Individual bookings may be cancelled from within a group booking similarly.

Car park space bookings can be linked into the Tabs conference room booking system as well. If spaces are required for visitors, book these. If the room booking is cancelled the system can automatically free the car park spaces.

View Only Programs

We can also supply view only programs for your Intranet. These programs allow any member of staff to visually see availability on any date. This information is presented in real time.

Users can work out for themselves what dates they would like the resource, and can call or email the help desk to request their booking.

Standard Reports

You can store single or multiple bookings in minutes, taking the request details over the phone or perhaps from an Email sent by the Tabs Intranet system. Asset Tracking System

The Tabs Asset Management System can be used to create large and secure asset registries. A great deal of information may be collected about each asset. These assets could be anything from furniture or IT equipment to expensive plant equipment.

Financial information may be applied to each and every asset including purchase cost, depreciation rate, replacement cost, life expectancy and current value.

Seaward Devices or Tabs Mobile Systems may be used for data collection
and asset audits. Data can be transferred seamlessly between device and database.
